Sharepoint redesign for Department of Treasury Next Generation Intranet
Department of Treasury Chief Information Office Sharepoint Redesign

Overview

The vision was to optimize communication and collaboration, enhancing both employee and customer satisfaction, and empowering individuals to engage and innovate from anywhere. To achieve this, the new intranet aims to:

  • Provide an effective communication tool for employees and managers, fostering better workplace interactions.
  • Enhance the online user experience while establishing a foundation for social engagement and collaboration.
  • Boost productivity through the integration of self-service applications.

Problem

Navigation Challenges: The site is difficult to navigate, making it cumbersome for users to find what they need.
Information Overload: Excessive data on each page makes content hard to read and understand.
Outdated Content: The site contains links to outdated information and retired pages, reducing its relevance and usability.

Evaluation of Existing Site

Before beginning the redesign process, I conducted a thorough evaluation of the site’s information architecture. Key findings included:

  • An overabundance of static links cluttering every page.
  • A lack of coherent categorization, leading to a disorganized presentation of data.

Wireframes & Prototypes

I created low-fidelity prototypes to define user needs and site architecture, using Photoshop for the design and InVision to demonstrate the working UI.

Final Design

Once the prototypes were approved, I helped convert all paper mockups into working wireframes and prepared the templates for developers.

Case Study

PROBLEMSSOLUTIONS
COMMUNICATE MORE EFFECTIVELYTaskers are communicated via email and stored in multiple locations, leading to scattered and disorganized information.
Employees often rely on outdated news shared through email.
Employee engagement is hindered by uninteresting brown-bag lunches.
Executives primarily communicate through monthly newsletters and bulletin boards, limiting direct and dynamic interaction.
A centralized platform allows employees across all offices to access taskers, ensuring organization and consistent communication.
Employees can rely on up-to-date information at all times.
Team members are encouraged to actively engage in conversations and collaboration.
Executives directly participate in social channels, blogs, and news feeds (RSS), fostering transparency and connection.
RESULTSData is scattered and disorganized, making it difficult to track progress.
Employees rely on outdated news shared via email.
Engagement is limited due to unengaging and uninspiring brown-bag sessions.
Streamlined sharing and approval processes.
Transparent tracking of progress.
Enhanced speed of communication.
INCREASING EMPLOYEE PRODUCTIVITYCommunication tools such as email, Microsoft Word, Project, and Excel are used inconsistently.
New employees face challenges integrating into the organizational culture, often taking months to adapt.
Employee recognition is limited to an annual award ceremony.
Achieving the organization's long-term vision takes 3 to 5 years.
The intranet is underutilized and lacks efficient search functionality within web directories.
Significant time and resources are wasted navigating technical issues and dealing with a cumbersome Help Desk.
Employees benefit from enhanced communication through the intranet, offering greater visibility and efficiency. New employees quickly adapt by following examples and addressing the concerns of skeptical stakeholders. Public recognition, such as shout-outs, spot awards, and features in regular organizational communications, reinforces team values across the workforce.
Users actively participate in phased rollouts, contributing to solutions and shaping the intranet's evolution. Enhanced search capabilities, whether based on metadata or full text, improve accessibility. Additionally, robust self-service wikis are available across popular operating systems and devices, including iPads, ensuring seamless access and usability.
RESULTSNew employees take months to adapt to the organizational culture, while communication relies heavily on tools like email, Microsoft Word, Project, and Excel. Recognition efforts are limited to an annual award ceremony, and the organization’s long-term vision typically takes 3 to 5 years to achieve. Additionally, the intranet remains underutilized, leading to significant time and resources spent on inefficient research and processes. The intranet fosters greater visibility with less effort, incorporating features like public shout-outs and spot awards to recognize achievements and reinforce organizational values. Users actively contribute to solutions, ensuring continuous improvement. Advanced search capabilities, including metadata and full-text options, enhance usability, while the platform’s adaptability to new technologies and devices is supported by a responsive web design for seamless access across various platforms.
IMPROVING USER EXPERIENCE ONLINEThe organization’s long-term vision requires 3 to 5 years to achieve, hindered by an underutilized intranet with inadequate search functionality in web directories. Additionally, significant time and resources are lost navigating a frustrating Help Desk and outdated technology.

Additionally, robust self-service wikis are available across popular operating systems and devices, such as iPads, ensuring seamless access.
RESULTSFiles sent via email lead to multiple versions piling up, ultimately slowing down the process and hindering efficiency.Files are securely organized with streamlined version tracking, enabling onboarding to be completed in half the time.
